How do I keep up with my kids' sports and school at the same time?
Sports and school can send their schedules to different places, so a clash only shows once every child's games, practices and school dates are in one calendar with the child's name first. Look at the week once, say who is driving and who is bringing what, and copy any change from a team into the calendar the same day.
Connect Gmail, or forward school emails from any inbox to your Daywell address.
What to do
- Pick one calendar and put every child in it. Use the one your family already checks. Google Calendar's shared calendars keep everyone in sync, and you can create separate calendars for different kinds of events and view them all in one place. In any other calendar, start every entry with the child's name. A Tuesday with a practice and a school event on it then shows as one Tuesday.
- Get each team's schedule in. If your team's app offers a calendar link, add it to that calendar. If there is no link, because the team uses a league website, a group chat or a PDF from the coach, type the games and practices in the day the schedule arrives. A game you typed in does not update itself, so when the team posts a change, change the entry.
- Write each entry so it can be acted on. The child, the activity, the day, the time, the place, and what to bring: "Maya: soccer practice, Tuesday 5:30, field 3, shin guards and water." A bare time on a calendar is how the water bottle gets left at home. Pack the gear in the same night-before check as the school things.
- Look at the whole week once. Sunday evening, two minutes, with both lists in front of you: which days have a game and a school thing, which nights have a game before something is due, and where two kids need to be in two places at the same hour. For each one, write who is driving and who is bringing what. If you have a partner, do this together.
- Copy changes the same day. A cancelled practice, a moved game or a new start time is easy to miss. When you see one, change the calendar entry then, not at the weekly look. Decide where team changes reach you (the team's app, email or a text from the coach) and look there at one fixed time each day.
- Send the team's email to one label. In Gmail, make a filter for your school, daycare and activity senders and have it label them "School". Add the team's sender to it. Choose Skip the Inbox (Archive it) only if you'll open that label every day.
How Daywell helps
Daywell, the family prep assistant, does that reading and list-making for you. Paste a team or school calendar link once, and Daywell keeps those events up to date. Connect Gmail once, read-only. Daywell looks at email and picks out the messages from school, daycare and activities. You get one list of what's coming up, which child it's for, and what to bring, sign or pay, like "Maya: field trip form, sign by Wednesday". On the iPhone and Android apps, one quiet reminder comes each morning, at a time you pick. Invite a partner and you both see the same list.
Questions parents ask
Our sports team uses TeamSnap or GameChanger. How do games show up?
Link the team's calendar to Daywell.
Connect the team's calendar link in Daywell, and the team's schedule comes in alongside the school items. On GameChanger, a parent or player account's link includes practices as well as games; a team follower's link has games only.
Our team has no calendar link, only a PDF schedule from the coach. How do I add it?
Share a photo, screenshot or PDF.
Take a photo or a screenshot, or save the PDF, then share it to Daywell from your phone, or add it in Daywell on the web. Daywell reads it and lists what it asks for.
Can my partner, or a grandparent who drives to practice, see it too?
Yes. Partners share your list; helpers see chosen kids.
Invite a partner and you both see the same list. Invite a helper, like a nanny or a grandparent, and they see the cards for the kids you pick.
Will Daywell remind me?
Yes, once each morning, on iPhone and Android.
On the iPhone and Android apps, one quiet reminder comes each morning, at a time you pick.
I use Outlook or another email, not Gmail. Can I still use Daywell?
Yes, just forward them.
Yes. From any inbox, forward school emails to your own Daywell address, one at a time or automatically.
Does Daywell read all of my email?
No. It starts with who it's from and the subject.
No. It looks only at who each email is from and its subject, and skips what Gmail files under Promotions, Social and Forums. It opens the ones it judges to be from school, daycare or activities. If it can't tell from the sender and subject, it opens that one too rather than risk missing it. The privacy policy explains what is kept and for how long.
