My kid started a new school and I'm drowning in emails. Where do I start?
In the first weeks, the trouble is not reading faster, it is not knowing who sends what. Find out which lists and apps the school uses, get every message sent to one place, and only then read for the dates and the asks.
Connect Gmail, or forward school emails from any inbox to your Daywell address.
What to do
- Ask the school what it uses. Ask the office or the teacher which email lists, apps and newsletters the school and the class use, and who sends from each. Write the answers in one list: the sender, what it is for, and how it reaches you (email, app or text).
- Get on the lists, and put both parents on. Sign up for the ones that matter for your child: the office, the teacher, the parent group, the after-school program. If a second parent should see them, give the school that address as well, so neither of you depends on the other forwarding.
- Turn on email for the school's app, if it uses one. Ask whether the school uses ParentSquare or Remind. ParentSquare and Remind work once you turn on their emails. Here is what ParentSquare's Digest does. Digest gathers the day's non-urgent posts into one notification, usually in the evening. Urgent alerts, which include emergencies, still go straight to your email and phone even with Digest on, and they can't be turned off.
- Send it all to one label once you know the senders. Do this at the end of the first week, when your list from step 1 is complete, so the filter uses real senders. In Gmail, make a filter for your school, daycare and activity senders and have it label them "School". Choose Skip the Inbox (Archive it) only if you'll open that label every day.
- Put the school's dates in once. If your school publishes a calendar, read it through once and add the days off, half days and events to the calendar your family already checks, instead of waiting for each email.
- Do one first-week pass, then keep a routine. At the end of the first week, open the label and write each date and each thing your child has to bring, wear, sign or pay for as a task with the child's name and the day, like "Maya: gym shoes, Monday". Expect this first pass to be the longest. From then on, read the label once a day for the dates and the asks; the page on too many school emails shows how.
How Daywell helps
Daywell, the family prep assistant, does that reading and list-making for you. Connect Gmail once, read-only. Daywell looks at email and picks out the messages from school, daycare and activities. You get one list of what's coming up, which child it's for, and what to bring, sign or pay, like "Maya: field trip form, sign by Wednesday". On the iPhone and Android apps, one quiet reminder comes each morning, at a time you pick. Invite a partner and you both see the same list.
Questions parents ask
Some of the school's messages are in an app, not email. Does that work?
Yes. Turn on app email, or share a screenshot.
Yes, and each one works a little differently. For ParentSquare and Remind, turn on email in the app's notification settings; Daywell knows them as school senders and reads those emails. Brightwheel messages arrive in the Brightwheel app, and urgent alerts can also come by text, so take a screenshot of the message, then share it to Daywell from your phone, or add it in Daywell on the web.
The welcome packet is a PDF, or the first forms are pictures. Can Daywell read them?
Yes, share a photo, screenshot or the PDF.
Daywell also reads the flyers and PDFs in school emails, attached or in the email itself, on iPhone, Android and the web. Take a photo or a screenshot, or save the PDF, then share it to Daywell from your phone, or add it in Daywell on the web. Daywell reads it and lists what it asks for.
If the school has a calendar link, can Daywell use it?
Yes, paste it once and it stays up to date.
Paste a team or school calendar link once, and Daywell keeps those events up to date.
Will Daywell remind me?
Yes, once each morning, on iPhone and Android.
On the iPhone and Android apps, one quiet reminder comes each morning, at a time you pick.
I use Outlook or another email, not Gmail. Can I still use Daywell?
Yes, just forward them.
Yes. From any inbox, forward school emails to your own Daywell address, one at a time or automatically.
Does Daywell read all of my email?
No. It starts with who it's from and the subject.
No. It looks only at who each email is from and its subject, and skips what Gmail files under Promotions, Social and Forums. It opens the ones it judges to be from school, daycare or activities. If it can't tell from the sender and subject, it opens that one too rather than risk missing it. The privacy policy explains what is kept and for how long.
