How do working parents keep up with school emails during the day?
Read school email at two set times a day instead of as it arrives, and sort what you find into what changes today and what can wait. Write each ask down as a task with a child and a day, so you never have to open the email again.
Connect Gmail, or forward school emails from any inbox to your Daywell address.
What to do
- Keep school mail out of the work flow. In Gmail, make a filter for your school, daycare and activity senders and have it label them "School". Choose Skip the Inbox (Archive it) only if you'll open that label every day. If school mail reaches a work address, ask the school office whether it can use a personal one.
- Pick two reading times. One at midday, like a lunch break or a walk, and one in the evening. Five minutes each. Between them, leave the label alone.
- Sort in ten seconds: today or later. Ask of each email: does this change today? A new pickup time, a closure, something due today. Do those at the midday read. The rest waits for the evening.
- Write the task, not the email. "Maya: field trip form, sign by Wednesday." One line with the child, the day and what to bring, sign or pay. Put it on the calendar you already open, with one alert the evening before from your phone's own reminder or calendar.
- Pass a same-day change on in one message. Tell whoever is doing pickup, with the time in the message. Don't forward the whole email. If more than one person helps, decide once who gets told.
- Look at the week once. Sunday evening, two minutes: which days have more than one thing, and who has each.
How Daywell helps
Daywell, the family prep assistant, does that reading and list-making for you. Connect Gmail once, read-only. Daywell looks at email and picks out the messages from school, daycare and activities. You get one list of what's coming up, which child it's for, and what to bring, sign or pay, like "Maya: field trip form, sign by Wednesday". Daywell reads new school email when you open the app, and the iPhone and Android apps usually read again each morning before your reminder.
Questions parents ask
I won't open an app during the day. Will I still know what's coming?
Yes, with a morning reminder on iPhone or Android.
On the iPhone and Android apps, one quiet reminder comes each morning, at a time you pick.
Someone else does pickup. Can they see what's coming?
Yes, invite them as a helper.
Invite a helper, like a nanny or a grandparent, and they see the cards for the kids you pick.
I use Outlook or another email, not Gmail. Can I still use Daywell?
Yes, just forward them.
Yes. From any inbox, forward school emails to your own Daywell address, one at a time or automatically.
Does Daywell read all of my email?
No. It starts with who it's from and the subject.
No. It looks only at who each email is from and its subject, and skips what Gmail files under Promotions, Social and Forums. It opens the ones it judges to be from school, daycare or activities. If it can't tell from the sender and subject, it opens that one too rather than risk missing it. The privacy policy explains what is kept and for how long.
